3. Website Hosting and IONOS SiteAnalytics
Our website is built using IONOS MyWebsite Now, provided by IONOS.
We use the built-in SiteAnalytics service to understand website traffic and evaluate technical performance. According to IONOS, SiteAnalytics may process:
Referring website
Requested webpage or file
Browser type and version
Operating system
Device type
Time of access
IP address, anonymized as described by IONOS
IONOS describes its built-in SiteAnalytics service as using log files or a pixel rather than cookies for these analytics functions. This does not mean that every feature or third-party integration on our website is free of cookies or other tracking technologies.
IONOS may also process technical information as necessary to host, maintain, secure, and operate the website. IONOS's own privacy policy and service terms apply to its processing.
4. Consent Banner, Cookies, and Similar Technologies
Our website uses the consent banner functionality available through IONOS MyWebsite Now to present visitors with choices about cookies and certain website technologies.
Depending on the available settings and features enabled on our website, the banner may allow visitors to accept, reject, or manage optional cookies and similar technologies. The options available and the banner's actual behavior depend on its configuration.
The built-in IONOS SiteAnalytics service is described by IONOS as not using cookies for its analytics functions. However, other website features and third-party integrations may use cookies or similar technologies.
Depending on the features enabled, these technologies may be used to:
Maintain website functionality and session information
Support shopping cart or checkout features, if applicable
Display embedded videos or maps
Enable third-party features
Remember preferences or language selections
Collect website usage or technical information
Third-party providers may process information, including IP addresses, browser details, device information, and the webpage being visited, when their services load or are used. Depending on the integration and its configuration, cookies or similar technologies may also be used.
The presence of a consent banner does not necessarily mean every third-party technology is automatically blocked until consent is provided. Simply Here intends to configure the website and consent settings to comply with applicable requirements. Where consent is legally required, the relevant technologies should not be activated before the required consent is obtained.
You can also manage cookies through your browser settings. Blocking certain cookies or technologies may affect website functionality.
Visitors should use the available consent controls to make or change their preferences. The technologies activated and information processed may depend on those preferences and the configuration of the relevant services.
5. Embedded Third-Party Services
Our website may include features provided by external service providers. When these features load, your browser may establish a connection with the provider's servers. Depending on the service, information such as your IP address, browser details, device information, the website address of the page you visit, and interactions with the feature may be transmitted.
The services described below apply only if the relevant features are enabled on our live website.
Google Maps
If an interactive Google Map is embedded on our website, Google may receive your IP address, the website address of the page containing the map, device and browser information, and information about searches or interactions with the map.
Google may associate certain information with your Google account if you are signed in, depending on your settings and Google's practices.
Google Maps may be used to display location information and help visitors plan routes.
For more information, review the Google Privacy Policy.
YouTube Videos
If YouTube videos are embedded on our website, loading a page containing a video may connect your browser to YouTube servers. YouTube may receive your IP address, the page you visited, and technical information about your browser and device.
Playing a video or interacting with it may result in additional information being processed and cookies or similar technologies being used, depending on the settings and embedding method.
YouTube may be used to display video content on our website.
For more information, review the Google Privacy Policy and YouTube Terms of Service.
Website Translation Tool
If our automated website translation tool is enabled, the tool may process your IP address, browser or device language preferences, and page text to provide translated website content. This information may be transmitted to the translation provider's external servers.
The tool is intended to make website content accessible to visitors who prefer another language. The translation provider's privacy policy and terms apply to its processing.
Other Embedded Services
Other features, including scheduling widgets, payment tools, video players, or additional integrations, may collect technical or usage information when loaded or used. If Simply Here adds services that materially change how personal information is collected or used, this Privacy Policy will be updated as appropriate.
6. Booking and Payment Processing
Simply Here plans to use Square Appointments for appointment scheduling and Square for payment processing. Full prepayment is intended to be required when booking a session unless an exception is agreed to in writing.
Square may process contact information, appointment details, payment information, transaction history, device information, and other data needed to provide its services, prevent fraud, maintain security, and meet legal obligations.
Simply Here uses information made available through Square to administer appointments, confirm payment, manage cancellations and refunds, and maintain appropriate business records.
Square's role in handling information may vary depending on the processing activity. Square's privacy notice and applicable terms also govern its handling of information.
Read the Square Privacy Notice.
7. Online Store and Checkout Functionality
If a separate online store or shopping cart is enabled on our website, the website may use technically necessary information or cookies to maintain shopping cart contents, session identifiers, customer login states, and checkout details.
This information may be processed to maintain the requested shopping experience, complete transactions, and manage customer orders.
Payment information may be handled directly by the applicable payment provider. Simply Here does not intentionally store complete payment card numbers or card security codes.
If the website only offers appointment bookings and payments through Square Appointments, rather than a separate online store, the booking and payment practices described in Section 6 apply instead.
8. Client Forms and Electronic Signatures
Simply Here plans to use Jotform Sign for electronic service agreements and consent documents and may use Jotform forms to collect limited client intake information.
Information submitted through these services may include contact details, form responses, electronic signatures, timestamps, and completed documents.
Simply Here intends to limit access to client documents and collect only information reasonably needed to provide and administer the service. Account permissions and document-access settings will be configured to help protect client information.
Jotform may process information to provide its services, maintain security, and meet applicable obligations. Its privacy policy and service terms apply.
Read the Jotform Privacy Policy.
9. Online Sessions and Google Meet
Simply Here plans to conduct online sessions through Google Meet.
Sessions are intended to take place without recording, transcription, or automated meeting note-taking. Simply Here does not intend to activate these features for sessions.
If recording, transcription, or automated note-taking is proposed in the future, Simply Here will explain the proposed practice and obtain any consent required before proceeding.
Clients are asked not to record, photograph, screenshot, or distribute session content without permission and any consent required by law.
Online conversations involve privacy risks that cannot be eliminated entirely. Clients are encouraged to use a private location, a secure device, and a trusted internet connection.
Google may process account, meeting, device, and service information to provide, maintain, secure, and support Google Meet. Google's privacy terms apply to its processing. Simply Here does not intend to use session content for advertising.

Simply Here does not sell personal information to third parties.
11. Confidentiality and Limits of Privacy
Simply Here intends to treat client information and session disclosures respectfully and limit access to information to what is reasonably necessary to operate the service.
However, privacy cannot be guaranteed in every circumstance. Information may need to be disclosed when required by law or legal process, or when disclosure is otherwise permitted or necessary to address safety, security, fraud, disputes, or other legitimate business and legal needs.
Simply Here provides a nonclinical service. Clients should not assume that communications are protected by the same legal privileges or confidentiality rules that may apply to communications with certain licensed professionals. Applicable protections depend on the circumstances and governing law.
Additional information about confidentiality practices is provided in the separate Privacy & Confidentiality Notice and Client Service Agreement.
12. Information Security
Simply Here intends to use reasonable administrative and technical safeguards to protect personal information. These may include limiting access to business accounts and client documents, using account-security features, and storing records in appropriately restricted locations.
No website, online service, email system, or electronic storage method can be guaranteed completely secure. Clients should avoid sending unnecessary sensitive information through ordinary email or website forms.
13. Data Retention

Records may include:
Signed service agreements and consent documents
Intake forms and relevant client communications
Booking, payment, cancellation, and refund records
Limited administrative notes
Simply Here does not intend to create or retain session recordings or transcripts.
Records will be retained for periods appropriate to their purpose and any applicable legal, tax, accounting, contractual, security, or dispute-resolution requirements. When records are no longer reasonably needed and no retention obligation applies, Simply Here intends to securely delete or dispose of them.
Retention periods may differ by record type. Simply Here intends to establish and follow a practical retention schedule appropriate to its business and legal obligations.
14. Your Choices and Privacy Requests
Subject to applicable law, you may contact Simply Here to ask about personal information we hold about you or to request access, correction, or deletion.
We may need to verify your identity before responding. Some information may need to be retained for legal, tax, accounting, security, contractual, or dispute-resolution purposes, even if deletion is requested.

16. Children's Privacy
Simply Here's services are intended for adults aged 18 and older. We do not knowingly seek to collect personal information from individuals under 18 for the purpose of providing services.
